Artwork Process & Deposit
Deposit Purpose & Scope Of Deposit
The deposit you provide is intended to cover the initial design time and development efforts required for creating your vehicle graphics artwork. The deposit covers the design process, including initial consultations,
conceptualisation, and initial drafts of the artwork.
Approval Process & Commitment to Works
You will be presented with the initial artwork drafts for review and feedback. Any requested revisions within the
scope of the deposit will be accommodated at no extra cost. However, revisions necessitating the acquisition of additional design assets may incur additional charges.By providing the deposit, you agree to proceed with the vehicle graphics artwork based on the initial designs developed within the scope of the deposit. Any requests for design assets or files beyond this scope will require a separate commitment and additional charges.
Cancellation Policy
In the event of cancellation prior to the completion of the artwork, the deposit is non-refundable. However, if
cancellation occurs before the commencement of significant design work, a partial refund may be considered at the discretion of Popin.
Intellectual Property
Upon full payment and completion of the artwork and vehicle graphics, ownership rights to the finalized design
will be transferred to you, subject to any third-party rights associated with acquired design assets. If you choose to withdraw from the design process & acquire your assets before the project's completion, a fee will be charged for the release of the artwork.
Exclusions & Additional Charges for Design Assets
The deposit does not include the acquisition of any design assets or files such as stock images, premium fonts, or specialised graphics elements that may be necessary for the completion of the artwork. This includes any bespoke vector files or assets created during the initial process. Should the acquisition of design assets or files be required beyond the scope of the initial deposit, additional charges will apply. These charges will be communicated to you transparently and will require your explicit approval before proceeding.
Confidentiality
All communications and materials exchanged during the design process will be treated as confidential information.
Governing Law: These terms and conditions shall be governed by and construed in accordance with the laws of
the Copyright, Designs and Patents Act 1988 (CDPA). By proceeding with the deposit, you acknowledge that you have read, understood, and agree to abide by these terms and conditions.
Booking & Cancellation Policy
Cancellations Over 2 Working Days Before Booking Date
Please note that there may be a surcharge applied to any jobs cancelled within 2 working days prior to a jobs booking date should we not be able to reallocate lost labour. We advise anyone needing to reschedule their booking to let us know at least 2 working days before the job is scheduled to start. No charge will be applied if the booking is rescheduled or cancelled prior to the 2 working days threshold.
Cancellations Within 2 Working Days
If a booking is cancelled within 2 working days of the agreed appointment time, a charge of £250 + VAT may apply. This fee will only be charged if we are unable to reallocate the time slot to another project.
Why This Policy is Necessary
Specific Time Slots: We work to carefully scheduled time slots to ensure efficient operations. When vehicles do not arrive as scheduled, it can disrupt team availability, resource planning, and other bookings.
Lost Labour: Late cancellations often result in lost time for our skilled team, which could otherwise have been allocated to other projects.
Preparation Costs: Many projects require advance preparation, including ordering and printing materials and scheduling labour, which involves upfront costs. Cancellation of bookings at short notice often doesn't allow us to have sufficient time to prepare alternative work.
Industry Standards: Similar policies are standard across professional industries & trades, to mitigate losses due to short-notice cancellations.
How We Handle Cancellations
We encourage clients to notify us of any changes as early as possible. If we can reallocate the time slot to another client, the cancellation fee will not apply.
You can let us know about cancellations by phone on 0292 067 2824, Monday to Friday: 07:30am to 04:30pm or via email on info@popingraphics.com. Please note that any cancellations via email during out of hours will be treated as 'received' at the next point in time that Popin are operational.
Email Cancellation Examples:
Example #01: A booking on a Tuesday morning will need to be cancelled via email and 'received' by Popin no later than the Friday morning prior, to avoid a cancellation charge entirely.
Example #02: A booking on a Wednesday morning will need to be cancelled via email and 'received' by Popin no later than Monday morning of the same week to avoid a cancellation charge entirely.
Any emails sent after 04:30pm Monday - Thursday will be treated as received at 07:30am the following morning. Any emails sent after 04:30pm Friday or during the weekend will be treated as received at 07:30am on the following Monday morning.
Please note that Popin do not operate during the weekend, bank holidays or from Christmas Day through to New Years Day. These days will not count as working days and you should consider this when notifying us.
